Dungeons Deep — Privacy Policy

This policy replaces all prior versions of the Dungeons Deep privacy policy as of the date above.

1. Who we are

Dungeons Deep is operated by Portalis AI, Inc., a Delaware corporation with offices at 3500 Jefferson Street #303, Austin, TX 78731 ("Portalis," "we," "our," "us"). Portalis AI, Inc. is the data controller for information described in this policy.

This policy explains what information we collect when you use dungeonsdeep.ai and the Dungeons Deep game (the "Services"), how we use it, who receives it, and what choices you have.

This policy covers Dungeons Deep only. Other Portalis products and brands are governed by their own separate policies.

2. What we collect

Information you give us

  • Account information — email address and username.
  • Payment information — processed by Stripe. We do not store full payment card numbers.
  • Voice recordings — audio captured when you speak to the Game Master. See Section 3.
  • Gameplay content — characters, campaigns, text you send to the Game Master, and other content you create in the Services.
  • Communications with us — support requests and correspondence.
  • Bug reports — if you submit a report through our community form, we receive the report content, your community handle, and a timestamp.

Information we collect automatically

  • Device, browser, and operating system information
  • IP address, and general location inferred from it
  • Log data including access times and features used
  • Gameplay telemetry and session information
  • Information collected through cookies and similar technologies

We are not responsible for information you share on third-party platforms such as Discord, which are not part of the Services and are governed by their own policies.

3. Voice recordings

Voice is central to how Dungeons Deep works, so we describe it separately.

What happens when you speak.We record your audio and transmit it to a third-party speech-to-text provider, which converts it to text. That text goes to a third-party AI model provider, which generates the Game Master’s response. The response is converted to audio by a third-party text-to-speech provider.

What we store. Voice recordings and transcripts are stored on our servers and used to run your session, resolve technical issues, investigate reports, and enforce our Terms of Service.

In multiplayer. Other players in your session hear your voice during play.

Your consent. By using voice features you consent to this recording, transmission, storage, and processing. If you do not consent, do not use voice features.

4. How we use information

  • Provide, operate, and maintain the Services
  • Create and manage your account
  • Run game sessions, including generating Game Master responses
  • Process payments, subscriptions, Turns, and Crowns balances
  • Respond to support requests and bug reports
  • Diagnose defects and monitor performance and security
  • Detect, prevent, and investigate fraud, abuse, and violations of our Terms
  • Communicate with you about your account and changes to our terms or policies
  • Send marketing communications, which you may opt out of at any time
  • Comply with legal obligations and enforce our agreements

5. Artificial intelligence

We do not train AI models. Portalis does not develop or train its own AI models, and we do not use your content to train any model. We use third-party AI models through their providers, with our own prompts and game logic.

Our providers. We use third-party providers for Game Master reasoning and for speech-to-text and text-to-speech processing. They process your content in order to deliver those services to us, under agreements with us and subject to their own terms.

Human review. A limited number of authorized Portalis personnel may access session content to investigate technical issues, respond to reports, and enforce our Terms.

We log prompts and outputs for debugging and abuse prevention.

6. Who receives information

We do not sell your personal information.

  • Service providers who process data on our behalf, including AI model and speech providers, payment processing, hosting, error and crash reporting, analytics, and email delivery.
  • Other players — in multiplayer, your username, your voice during play, and your communications to the Game Master are visible or audible to others in the session.
  • Legal and safety — where we believe disclosure is necessary to comply with law or legal process, enforce our Terms, investigate violations, or protect the rights, property, or safety of Portalis, our users, or the public.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets.
  • With your consent — otherwise as you direct.

7. How long we keep information

We keep information for as long as your account is active and for as long as we consider it necessary for gameplay continuity and for the purposes described in this policy. We may retain information longer where required by law, to resolve disputes, to prevent fraud and abuse, or to enforce our agreements.

Some information may persist in backups for a period after deletion from our active systems, and is not restored to active use.

8. Your choices and rights

Access and correction. You can review and update your account information in your account settings.

Deletion. You may request deletion of your account and associated personal information by contacting info@portalis.ai. Some information may be retained where we are permitted or required to keep it, such as payment records, security logs, and information needed to resolve disputes or enforce our Terms. In multiplayer campaigns, content you contributed to another player’s campaign may remain in that campaign in a form that no longer identifies you.

Marketing. Unsubscribe using the link in any marketing email. We will still send administrative messages about your account.

Cookies. Most browsers allow you to decline cookies. Some features may not work if you do.

To exercise any right described below, contact us at info@portalis.ai. We will verify your identity before responding. You may use an authorized agent with written permission, and you may appeal a denial by replying to our response. We will not discriminate against you for exercising these rights.

United States

Depending on where you live, you may have the right to know what personal information we collect and disclose, access a copy of it, correct inaccuracies, delete it, opt out of sale or targeted advertising, and limit our use of sensitive personal information.

California. The categories of personal information we collect are: identifiers, financial information, commercial information, internet and network activity, general geolocation, audio recordings, and inferences. We collect these from you directly, through your use of the Services, and from our service providers, for the purposes described in Section 4. We do not sell personal information, and we do not knowingly sell or share the personal information of anyone under 16.

Nevada. Nevada residents may opt out of the sale of certain personal information by contacting us. We do not sell personal information as Nevada defines it.

European Economic Area and United Kingdom

Legal bases. We process your personal data on the following bases:

  • Performance of a contract — to create and operate your account, run game sessions, process payments, and provide support.
  • Legitimate interests — to secure the Services, prevent fraud and abuse, diagnose defects, improve the Services, and communicate with you about them. We balance these interests against your rights and freedoms.
  • Consent — for voice recording, for marketing communications, and for non-essential cookies. You may withdraw consent at any time.
  • Legal obligation — to comply with law and respond to lawful requests.

Your rights. You have the right to request access to your personal data, correction of inaccurate data, erasure, restriction of processing, and data portability. You have the right to object to processing based on legitimate interests and to object to direct marketing at any time. You have the right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects; we do not carry out such processing. Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

We will respond to requests within one month, which may be extended where a request is complex.

Complaints. You have the right to lodge a complaint with your national data protection authority, or with the Information Commissioner’s Office in the United Kingdom. We would appreciate the opportunity to address your concerns first — contact us at info@portalis.ai.

International transfers.Your personal data is transferred to and processed in the United States. Where we transfer personal data out of the European Economic Area or the United Kingdom, we rely on appropriate safeguards, including the European Commission’s Standard Contractual Clauses and the UK International Data Transfer Addendum where applicable.

Automated decision-making. The Game Master generates narrative content using AI. This is not automated decision-making that produces legal or similarly significant effects.

9. Security

We use technical, administrative, and physical safeguards designed to protect the information we collect, including encryption of data in transit and access controls limiting who can reach player data.

No system is completely secure, and we cannot guarantee the security of your information.

10. Children

Dungeons Deep is a general-audience fantasy roleplaying game intended for users aged 13 and older. It is not directed to children under 13.

We do not knowingly collect personal information from children under 13. If we learn we have collected personal information from a child under 13, we will delete it and terminate the account.

If you are a parent or guardian and believe your child under 13 has provided us with personal information, contact us at info@portalis.ai and we will act promptly.

11. Changes

We may update this policy. We will post the revised version, update the "Last Updated" date, and provide additional notice for material changes where required by law.
